Introduction

These Terms & Conditions apply to all registrations, ticket purchases, and participation in the WHN PAIS Conference 2026 (“the Conference”), organised by the WHN PAIS Conference Foundation (“the Organiser”). By registering for or attending the Conference, participants agree to these Terms & Conditions.

Definition

  • Registrant: the individual or legal entity that completes the registration and enters into a contractual agreement with the Organiser.
  • Attendee: the individual who actually attends the Conference, either in person or online, and who may or may not be the Registrant.
  • Organiser: the WHN PAIS Conference Foundation, responsible for the organisation and delivery of the Conference.
  • Conference: the WHN PAIS Conference 2026, including all associated sessions, workshops, social events, and online components.
  • Registration: the act of registering for the Conference through the official registration system, resulting in a binding agreement between the Registrant and the Organiser.
  • Force Majeure: circumstances beyond the reasonable control of the Organiser, including but not limited to natural disasters, pandemics, government restrictions, strikes, or venue unavailability.

Registration & Payment

Registration is completed once full payment has been received. Participants are responsible for ensuring that payment details are correct. In the Early-bird registration period invoices will be issued electronically within 7-10 business days. All prices are stated in euros (€) and may be subject to VAT where applicable. The Organiser reserves the right to refuse or cancel a registration at its discretion.

Cancellation and changes

Registration for the Conference constitutes a binding agreement between the Registrant and the Organiser. Registration fees are non-refundable, except in the event that the Conference is cancelled by the Organiser. If an Attendee is unable to attend, the Registrant may transfer the registration to another Attendee at no additional cost, provided the Organiser is informed in advance and within the applicable deadlines. The Organiser reserves the right to make changes to the programme, speakers, venue, format, or schedule of the Conference where necessary. Such changes do not entitle the Registrant to a refund. In the event that the Conference is postponed, modified, or converted to a hybrid format due to Force Majeure, all registrations remain valid and no refunds will be issued. If the Conference is converted to a fully online format due to Force Majeure, the Organiser may, at its discretion, offer a partial reduction of the registration fee to reflect costs that are demonstrably not incurred (such as catering), provided that such costs have not yet become contractually committed. Any such reduction is subject to supplier cut-off dates and will be determined by the Organiser. No automatic entitlement to a refund or reduction exists.

Liability

Attendance at the Conference is at the Attendee’s own risk. The Organiser is not liable for any personal injury, loss, damage, or theft of personal property occurring before, during, or after the Conference, except where liability cannot be excluded under applicable law. The Organiser is not responsible for travel, accommodation, or other costs incurred by the Registrant or Attendee in connection with the Conference. The Organiser does not accept responsibility for the accuracy, completeness, or content of presentations or materials provided by speakers.

Insurance

The Registrant and Attendee are responsible for arranging their own travel, health, and personal insurance. The Organiser does not provide insurance coverage for Registrants or Attendees.

Force majeure

In the event of Force Majeure, including but not limited to natural disasters, pandemics, government restrictions, strikes, or circumstances beyond the reasonable control of the Organiser, the Organiser reserves the right to modify, postpone, convert, or cancel the Conference. The Organiser shall not be liable for any costs, damages, or losses incurred by the Registrant or Attendee as a result of such circumstances.

Intellectual property and recordings

All content presented during the Conference, including but not limited to presentations, abstracts, materials, and recordings, remains the intellectual property of the respective authors and/or the Organiser. Attendees may not record, photograph, reproduce, or distribute Conference content without prior written permission, unless explicitly stated otherwise. By attending the Conference, Attendees consent to being photographed, filmed, or recorded for documentation, reporting, and promotional purposes by or on behalf of the Organiser. Requests to opt out of such recordings must be communicated to the Organiser in advance or on site.

Code of conduct

Attendees are expected to behave in a professional, respectful, and inclusive manner at all times. Harassment, discrimination, or disruptive behaviour will not be tolerated. The Organiser reserves the right to deny access to, or remove, any Attendee who violates this Code of Conduct, without refund.

Privacy

Personal data is processed in accordance with applicable data protection laws. Please refer to the Privacy Policy on this website for further information.

Governing law

These Terms and Conditions are governed by and construed in accordance with the laws of the Netherlands. Any disputes arising out of or in connection with these Terms and Conditions shall be submitted to the competent courts in the Netherlands.
